Administrative Assistant – Catholic Charities

Summary of Position:


The Administrative Assistant provides general support for all staff in the Department of Catholic Charities to ensure efficient day-to-day operations; develops communication strategies and materials that promote the work of Catholic Charities throughout the diocese.


Essential Duties and Responsibilities:


  • Performs basic office tasks such as generating correspondence and reports, answering phones and emails, welcoming visitors, maintaining inventory and ordering supplies, distributing mail, and scheduling/managing meetings using Google as requested


  • Processes donations and generates gift acknowledgement letters and other forms of donor engagement


  • Develops electronic and print publications, email blasts, brochures, flyers, and other materials to promote the ministries of Catholic Charities as needed


  • Develops content for all communication venues and maintains the Catholic Charities Strategic Communications Plan and the Catholic Charities Strategic Plan


  • Assists with creating and gathering content for special projects, assignments, and publications


Secondary Duties and Responsibilities:


  • Assists with various departmental and affiliate agency mailing projects


  • Shops for, sets up before, and cleans up after departmental meetings and events


  • Supports all offices in the department by ordering materials, assisting with the planning and promotion of events and opportunities for engagement, and providing clerical assistance and administrative support where needed


  • Supports the Diocese of Youngstown with switchboard relief coverage as needed


  • Other duties as assigned


Qualifications and Requirements:


  • High school diploma or GED
  • Strong verbal and written communication skills and attention to detail
  • Ability to develop and implement solutions to typical office problems or issues
  • Ability to work collaboratively with colleagues from various departments or agencies
  • Ability to work in a fast-paced environment and adapt to changing department needs or priorities
  • Prior experience working in an office setting
  • Experience with data base software (Blackbaud’s The Raiser’s Edge preferred)
  • Proficiency with technology and other software (Microsoft Office Suite, Canva, Google Mail and Calendar functions)
  • Excellent time management skills and ability to handle multiple projects and deadlines with limited supervision
  • Valid driver’s license and reliable transportation
  • Bi-lingual (English/Spanish) desirable
  • Meet Safe Environment Policy (FBI/BCI background clearances and VIRTUS training) required
