Administrative Assistant
Catholic Charities, Diocese of Youngstown

Catholic Charities, Diocese of Youngstown seeks a full-time Administrative Assistant to provide general support for staff in the Department of Catholic Charities to ensure efficient day-to-day operations and communications within the department and with those who contact the department for information.

Essential Duties and Responsibilities:

  • Performs basic office tasks such as generating correspondence and reports, answering phones and emails, welcoming visitors, maintaining inventory and ordering supplies, distributing mail, and scheduling/managing meetings using Google as requested
  • Provides general administrative assistance and clerical support to the Diocesan Director of Catholic Charities, Director of Peace and Justice, and Catholic Charities’ Project Manager
  • Supports the fiscal office by providing clerical assistance, processing staff timesheets and paid time-off reports, processing donations, and generating gift acknowledgements; facilitates banking transactions as appropriate and as needed
  • Supports Hispanic ministry and prison ministry efforts by ordering resource materials, assisting with the planning and promotion of events and opportunities for engagement, and providing general clerical support as needed
  • Assists with creating and gathering information for special projects and assignments
  • Develops and shares content to support Catholic Charities’ social media platforms

 

Secondary Duties and Responsibilities:

  • Assists with various departmental mailing projects
  • Shops for, sets up before, and cleans up after departmental meetings
  • Other duties as assigned

 

Ideal candidate will have a at least a high school diploma or GED.  Must have experience working in an office setting. Must have experience with database software (Blackbaud’s The Raiser’s Edge preferred) and proficiency with technology and software (Microsoft Office Suite, Canva, Google Mail and Calendar functions). Candidates should have above-average attention to detail and excellent time management skills and ability to handle multiple projects and deadlines. Bi-lingual (English/Spanish) candidates are desired.  Must have valid driver’s license and reliable transportation, and pass a background check.
