Administrative Assistant – Sales Support

SUMMARY: The person in this position will provide administrative support to the Catholic Echo team, so he/she should be highly organized, digitally-savvy and possess excellent customer service skills. The person in this role will support the advertising sales team by tracking sales, running reports and helping advertising clients through the production process. They will also answer phones and help process subscriptions and update the database.

 

PRIMARY DUTIES/ RESPONSIBILITIES (The Catholic Echo):

  • Check in regularly with Advertising Sales Representatives to collect sales data and attend occasional sales meetings
  • Use software to generate sales reports
  • Provide assistance to advertising clients to help assist them through the production process
  • Maintain and organize lead lists and information on existing clients
  • Maintain advertising promo sheets with the production department
  • Provide billing department with ad cost information for each issue and work with Advertising Sales Representatives to collect on past due accounts
  • Coordinate tear-sheets to send via mail or email, depending on client preferences
  • Help process subscriptions, which may include calling subscribers, data entry and payment processing
  • Help enter data into diocesan database (once database launches in late 2024)
  • Utilize the Office Administrator as necessary to complete projects
  • Answer phones and provide customer service
  • Perform other related duties as assigned

 

QUALIFICATIONS: 

  • Practicing Catholic committed to the mission and values of the Diocese of Youngstown and the Catholic Church
  • Experience with Microsoft Word, Excel and Outlook. Familiarity with or willingness to learn sales management software
  • At least two years of administrative experience
  • A bachelor’s degree in a related field
  • Good people skills, organization skills and computer skills
  • Customer service attitude towards subscribers and coworkers
  • Background clearance and Safe Environment training required

 

PRINCIPAL RELATIONSHIPS: Advertising Sales Representatives to collect data and provide them with sales support; Editor in Chief on the tracking of sales goals and processing of subscriptions; Office Administrator, who will assist the person in this role with projects as assigned; Production staff on the development of advertisements; Production Assistant on the updating of online calendars; Billing department for billing of advertisements and collection of past-due accounts
